This Service Cancellation Policy explains how clients can cancel or request changes to procurement and supplier management consultancy services provided by ORSA GROUP LTD.

01 · Scope

What this policy covers

This policy applies to consultancy services provided by ORSA GROUP LTD, including supplier sourcing, supplier evaluation, procurement process support, quotation review, purchasing coordination and supplier relationship management consultancy.

The cancellation position may depend on whether the service has started, whether consultancy work has already been carried out and whether a specific service arrangement has been agreed.

Statutory rights are not affected.

Nothing in this policy is intended to exclude or restrict any cancellation, refund or other consumer right that cannot lawfully be excluded or restricted.

02 · Before work

Cancellation before the service begins

A client may request cancellation before consultancy work has started by contacting ORSA GROUP LTD using the contact details provided at the end of this policy.

Where the cancellation request is received before the agreed service has started and no substantive consultancy work has been completed, the service will normally be cancelled without a service charge, subject to any specific terms agreed for that service and applicable statutory rights.

A cancellation request should include the client’s name, relevant service and sufficient information to identify the service request.

03 · Timing

Useful cancellation windows

For practical administration, clients should submit cancellation requests as early as possible.

More than 2 business days before work Cancellation can normally be processed before the service is scheduled to begin.
Within 2 business days Cancellation may still be requested, but the service status will be reviewed to determine whether work has already commenced.
After work has started Cancellation remains possible, but any amount already attributable to work properly carried out may be treated according to the agreed service terms and applicable law.
After completion A completed consultancy service cannot normally be treated as an unused service, subject always to applicable statutory rights.
04 · Service started

When work has already begun

Consultancy work may begin when ORSA GROUP LTD starts reviewing client information, carrying out supplier research, preparing analysis, arranging agreed consultancy activity or performing another substantive task within the agreed scope.

If a client asks to cancel after work has started, ORSA GROUP LTD will assess the stage reached and the work already carried out.

Where applicable law permits a charge for work already performed, the amount will be limited to the proportion of the agreed service that has actually been provided or another lawful basis for the charge.

Clients should contact ORSA GROUP LTD as soon as they decide that they no longer require a service. Early notification can reduce unnecessary work and may simplify the cancellation process.

05 · Consumer cancellation

Where statutory cancellation rights apply

Where a client is a consumer and the service contract is entered into at a distance or otherwise falls within applicable consumer legislation, statutory cancellation rights may apply.

Where a statutory 14-day cancellation period applies, the period normally begins on the day after the contract is entered into.

If a consumer expressly asks ORSA GROUP LTD to begin supplying the service before the end of an applicable cancellation period, the consumer may have specific rights and obligations concerning work supplied before cancellation.

Where the service has been fully performed within an applicable cancellation period following the consumer’s express request and required acknowledgement, the statutory right to cancel may no longer apply where the relevant legal conditions have been satisfied.

The precise application of statutory cancellation rights depends on the circumstances of the contract. Nothing in this policy replaces rights provided by applicable consumer legislation.

06 · How to cancel

A simple cancellation process

Send your request

Contact ORSA GROUP LTD by email or another agreed communication method and state that you wish to cancel the relevant service.

Identify the service

Include the service name and any reference or booking details that will help identify the relevant arrangement.

Cancellation confirmed

ORSA GROUP LTD will review the request and confirm whether the service has started and what cancellation terms apply.

Any applicable refund processed

Where a refund is due, it will be processed in accordance with the applicable service terms and statutory requirements.

07 · Refunds

Refunds following cancellation

Where a cancellation results in a refund being due, ORSA GROUP LTD will normally arrange the refund without undue delay and, where a statutory refund period applies, within the period required by applicable law.

Unless another lawful arrangement applies, refunds will normally be returned using the original payment method used for the relevant transaction.

Depending on the circumstances, a refund may take additional business days to appear in the client’s account after it has been processed, due to the relevant financial institution or service provider.

Where a service has already been partly supplied, any reduction in a refund will only be made where permitted by the applicable service terms and law.

08 · Rescheduling

Changing an agreed appointment

Where a consultancy service includes a scheduled meeting or consultation, a client may request a change to the agreed time.

Requests made at least 2 business days before the scheduled appointment can normally be accommodated subject to availability.

Requests made less than 2 business days before the appointment will be considered individually and may require a revised delivery arrangement where preparation or other substantive work has already taken place.

09 · Client information

Cancellation caused by missing information

If a client does not provide information reasonably required to carry out the agreed service, ORSA GROUP LTD may pause delivery while waiting for that information.

If the required information remains outstanding for more than 10 business days after a reasonable request, ORSA GROUP LTD may contact the client to confirm whether the service should remain open, be rescheduled or be cancelled.

Any consequences for work already carried out will be considered according to the agreed service terms and applicable law.

10 · Changes to scope

When requirements change

A request to substantially change the original consultancy requirement may be treated as a revised service rather than a simple cancellation.

Before additional work is undertaken, ORSA GROUP LTD will clarify the revised scope and, where relevant, the revised delivery period and applicable service terms.

The client is not required to accept additional work merely because the original service has already been requested.

11 · No restriction

Statutory protections

Nothing in this policy affects rights or remedies that cannot lawfully be excluded or limited under applicable UK law.

If a provision of this policy is found to be unenforceable or inapplicable in a particular situation, the remaining provisions will continue to apply to the extent permitted by law.
